Privacy Policy

How we collect, process and protect your personal data.

Protecting your personal data is important to us. This Privacy Policy explains what data we collect, how we process it, for what purposes we use it, and what rights you have in this regard. We process your data in accordance with the General Data Protection Regulation (GDPR) and applicable national data protection laws.

This Policy applies to all services of FLG FitLink UG (haftungsbeschränkt), including our website, landing pages, online forms, newsletters, social media channels, and other digital services. It also applies to data processing within the context of our business relationships, such as inquiries, project execution, or events.

Please note that data transmission over the Internet (e.g. via email) can have security gaps. Complete protection of data from access by third parties is not possible.

1. Data Collection and Use

We process personal data you actively provide to us (e.g. via contact or quote request forms, newsletter sign-ups, email, or during a project) as well as data that is automatically collected when you visit our digital services (e.g. IP address, browser type, date and time of access).

We process this data in particular for the following purposes:

  • Responding to your inquiries and managing projects
  • Providing and improving our services
  • Informing you about our offers, partners, and events
  • Technical provision and security of our digital services
  • Compliance with legal obligations

2. Legal Basis for Processing

  • Contract performance or pre-contractual measures (Art. 6(1)(b) GDPR)
  • Consent (Art. 6(1)(a) GDPR), which you may withdraw at any time
  • Legitimate interest (Art. 6(1)(f) GDPR), e.g. to optimise our services or ensure IT security
  • Legal obligation (Art. 6(1)(c) GDPR)

3. Data Sharing

We only share your personal data with third parties if it is necessary for contract performance, you have given explicit consent, or we are legally obliged to do so. Typical recipients may include:

  • Hosting and infrastructure providers (Vercel, which serves this website), and IT service providers such as Google Workspace, Notion and Slack
  • CRM and marketing platforms (e.g. HubSpot)
  • Project partners for joint execution

We have concluded legally required Data Processing Agreements (DPAs) with all service providers processing personal data on our behalf.

4. Use of Online Forms

When you contact us via a form on our website or request a quote, the data you provide (e.g. name, email address, phone number, company name, project description) is processed to handle your request. Processing is based on Art. 6(1)(b) GDPR (pre-contractual measures) or on your consent (Art. 6(1)(a) GDPR).

The enquiry form on the contact page is provided by HubSpot (HubSpot Ireland Limited, 1 Sir John Rogerson's Quay, Dublin 2, Ireland). It is an embedded third-party component: loading it contacts HubSpot's servers, which receive technical connection data such as your IP address and browser information, and allows HubSpot to set its own cookies in your browser so that a submission can be matched to your enquiry. For that reason it is not loaded automatically. The page explains what the form involves and loads it only after you have actively asked for it (Art. 6(1)(a) GDPR). You can withdraw that consent at any time under privacy choices, and you can always reach us by email instead. Data you submit through the form is processed by HubSpot on our behalf in order to handle your enquiry.

5. Newsletter and Marketing Communication

If you subscribe to our newsletter or consent to receiving marketing communications, we use your email address and, if applicable, your name to send you relevant content, offers, and company news. We use a newsletter service provider that processes your data only in accordance with our instructions and GDPR requirements. You can unsubscribe at any time via the link included in every email or by sending an email to welcome@fitlinkglobal.com.

6. Cookies and Consent

The current version of this website does not use analytics or advertising cookies and does not contain tracking tags. It uses the browser's local storage only to remember your language and privacy choice. These values remain in your browser and are not transmitted to FitLink. One non-essential component exists: the HubSpot enquiry form on the contact page described in section 4. It is disabled by default and loads only after you have received clear information and actively opted in, and any further analytics, advertising, embedded-media or profiling technology would be handled the same way. You can review your current choice at any time via .

Live partner and event information

To display current partner and event information, the website currently requests public data from Google Sheets and Google Apps Script. Partner logo files are loaded from Google Drive when available. When these resources are requested, Google receives technical connection data such as your IP address, browser information, the requested resource and the time of access. The website does not use these requests for analytics, advertising or profiling. These requests happen as the page loads, because the information is what the page is for; they are not subject to your privacy choice and set no cookies on this site. The legal basis is our legitimate interest in showing current partner, event and press information without maintaining a second copy of it (Art. 6(1)(f) GDPR). FitLink does not store the connection data arising from these requests and keeps no log of them; what Google retains, and the safeguards it applies, are governed by Google’s privacy policy. The services are provided by Google Ireland Limited, and the requests may be processed on Google servers outside the European Economic Area, including in the United States. We are reviewing a same-origin delivery route before the public launch so these third-party requests can be further reduced.

7. Data Security

We implement technical and organisational security measures to protect your data against manipulation, loss, destruction, or unauthorised access. Our partners and service providers are also required to comply with these standards.

8. Data Retention

We store your personal data only for as long as necessary to fulfil the purposes mentioned above or as required by legal retention periods. When the purpose no longer applies or the retention period expires, your data will be deleted or blocked.

9. Your Rights

You have the right to:

  • Access your stored personal data (Art. 15 GDPR)
  • Rectify inaccurate data (Art. 16 GDPR)
  • Request deletion of your data (Art. 17 GDPR)
  • Restrict processing (Art. 18 GDPR)
  • Request data portability (Art. 20 GDPR)
  • Object to processing (Art. 21 GDPR)
  • Withdraw consent at any time (Art. 7(3) GDPR)
  • Lodge a complaint with a supervisory authority (Art. 77 GDPR)
